The platform

Everything a recruitment business needs. Already built.

A complete recruitment technology platform for independent consultants, covering CRM, ATS, compliance, finance, and back-office operations. No setup. No configuration. No additional licence fees.

What’s included

One platform. Everything covered.

Building your own recruitment business from scratch means sourcing, buying, integrating, and maintaining a technology stack before you’ve billed a single pound. Setting up compliant processes. Finding a payroll provider. Establishing a finance workflow. Creating your brand.

At Unknown Potential, all of that is already done. The platform covers every operational area of running a recruitment business. Your job is to bill. Everything behind that is ours.

Compliance

Compliance built in, not bolted on.

Compliance is one of the most common reasons experienced consultants don’t make the move to independence. At Unknown Potential, compliance isn’t a separate process you manage alongside your recruitment work. It’s embedded in the platform itself. See what IR35 means for your contractors.

  • Compliance TrackingEvery placement, candidate record, and client interaction is tracked automatically. Your compliance status is visible, current, and maintained without manual admin.
  • GDPR ComplianceGDPR requirements are built directly into CRM workflows. Consent capture, data retention rules, and subject access request handling are all managed within the system.
  • Secure Data HandlingRole-based access controls, secure data storage, and encrypted data handling throughout. Your data is protected without you managing the infrastructure.
  • Audit-ReadinessThe platform maintains the records and audit trails you’d need for any inspection or compliance review. Always ready, without manual preparation.

Finance and back office

You focus on billing. We handle the money.

Finance admin is the part of running your own business that most consultants dread. Invoicing, chasing payments, managing contractor payroll, staying on top of HMRC reporting. At Unknown Potential, it’s all handled. See how your earnings are calculated.

  • Invoicing WorkflowInvoices are generated, sent, and tracked through an integrated workflow. You don’t manage invoices manually. You can see payment status at any time.
  • Bookkeeping IntegrationYour financial records are maintained through integrated bookkeeping. Always a clear picture of what’s been billed, paid, and outstanding.
  • Contractor PayrollingEnd-to-end contractor payroll handled by the platform. Contractors are paid correctly and on time.
  • HMRC-Aligned ReportingAutomated reporting aligned with HMRC requirements. Records are structured so your personal tax and reporting obligations are straightforward.
  • Credit ControlPayment chasing handled through the invoicing workflow. You’re not spending billing time writing follow-up emails or chasing overdue invoices.

Why bespoke matters

The problem with generic recruitment CRMs.

Most recruitment CRMs are built for agencies with teams, billing targets, and KPI dashboards designed to manage people, not support individuals. If you’re working independently, those tools carry overhead you don’t need and workflows that don’t fit how you actually operate.

Generic platforms require configuration before they’re useful. You pay a per-seat licence, configure your own workflows, integrate your own tools, and maintain the whole thing yourself. For a growing team, that overhead might be justified. For a single consultant billing independently, it’s a distraction.

The Unknown Potential CRM is built differently. It’s a single-seat, AI-enriched platform built around the workflow of an independent consultant: from candidate sourcing and client outreach through to placement management and invoicing. It connects directly to the compliance, finance, and communication tools in the platform, so nothing needs to be integrated separately.

For a solo operator, every hour spent on platform administration is an hour not spent billing. The CRM doesn’t just give you tools; it removes the friction that solo consultants typically deal with when trying to make generic software work for them.

You’re not sharing the CRM with a team, and no one is setting activity targets in it. It’s yours, configured for your sector and your workflow, and connected to everything else you need from day one.

Compliance in practice

Compliance without the admin overhead.

Recruiters who haven’t worked independently often overestimate how complex compliance is. The honest picture: if you’re billing perm placements, your day-to-day compliance obligations are straightforward. If you’re running a contract desk, there’s more to manage, but it’s still manageable. The Unknown Potential platform handles the operational parts automatically.

  • GDPR in practiceEvery candidate who goes into the CRM has their consent managed automatically. Data retention rules are applied by the system. If a candidate requests their data be removed, there’s a workflow for that. You’re not maintaining a separate spreadsheet to track consent.
  • IR35 for contractor placementsThe platform includes the documentation workflow for IR35 status assessments on contractor placements. This doesn’t replace professional advice, but the paperwork is in order and auditable if it’s ever questioned.
  • Audit trailEvery client interaction, placement record, and candidate communication is logged and timestamped. If you’re ever asked to produce documentation for an inspection or a fee dispute, it’s there.
  • What you don’t have to manageYou’re not responsible for configuring the compliance system, keeping it updated, or running periodic audits of your data. The platform maintains compliance readiness as a default state.

Finance reporting

What the finance reporting covers, and what it doesn’t.

HMRC-aligned reporting is one of those phrases that sounds more complex than it is. Here’s what it means in practice.

What the platform handles: The invoicing workflow generates and tracks invoices automatically. Every placement fee, every contractor payment, and every platform deduction is recorded in a structured format that your accountant can work with directly. You always have a clear picture of what has been billed, what has been paid, and what is outstanding.

For contractor placements, the platform handles contractor payroll: payments to contractors are processed correctly, employment records are maintained, and PAYE obligations where applicable are handled by the platform. You’re not managing contractor payments yourself.

The financial records are structured for straightforward self-assessment filing. At the end of each tax year, you have clear records of what you earned, what the platform deducted, and what your personal tax-relevant income was for the year.

What the platform doesn’t handle: Your personal tax filing is yours. The platform gives you what you need to work with an accountant, but the self-assessment return is your responsibility. We have preferred accountancy suppliers and are happy to make introductions.
